Important information for the use of the rooms
As we have recently had a number of complaints regarding the cleanliness of the house and have noticed a lot of damage to doors and furniture, we would like to draw your attention to the following points once again.
Maintain order and cleanliness!
- Dispose of garbage and empty bottles in the garbage cans in the courtyard
- Close windows
- Tidy up the room / maintain basic order → see information on the individual room doors
- Handle doors and furniture with care → show respect!
- If something breaks, please report it to KoKoS: ic@stura.uni-jena.de
- Reduce the volume after 10 p.m. → Show consideration for neighbors!
- Ant infestation in the house: No leftover food should be left lying around!
- Sweep or mop the floor if it has been soiled!
In case of increased non-compliance, using the rooms can be refused!
Booking a room in four easy steps
Be it a party, a lecture or a theatre rehearsal – we have the right room for you. In order to book a room online just follow these four steps:
- Step 1 – Carefully read the terms of agreement.
- Step 2 – Some events, such as private parties, require a fee to be paid. You find a table listing user groups and event types that are subject to fees in the Booking rules below.
- Step 3 – Choose a room and a date in the booking calendar below. Click on the starting time and fill in the online booking mask.
- Step 4 – Wait for the confirmation. If your event takes place on the weekend or in the Vaulted Cellar you need to sign a hand-over certificate at the KoKoS office. The KoKoS office hours are listed on the homepage.
Booking requests are confirmed only on weekdays. Booking requests which are sent on weekends will be confirmed on the following Monday (unless it is a public holiday). The booking requests are confirmed in chronological order of receipt. If there are multiple requests for a da te, the earliest request is confirmed. For exceptions to this rule see “Privileges”.
If it is not possible to confirm your reservation request due to scheduling conflicts, closing times, construction works or the like, we will send you an e-mail.
Events and room bookings of the residents of the International Centre as well as events with intercultural or international issues have a priority over other booking requests. This means that they can book more than two months in advance, while other events can be booked a maximum of two months in advance. Exceptions are possible, especially for room requests during the lecture-free period or on weekends when the house is less busy. External events for which a fee is paid can also be booked more than two months in advance in consultation with the Coordination Office. The online booking request is a binding reservation of the room. If you do not need the requested room please cancel your booking at least 3 days prior to your event. Otherwise you will face costs according to the table of charges.
You you can arrange our rooms at your preference. There are additional tables and chairs available in the storage room (ask for the key). However, you always have to return the the room to its initial state after your event. See the diagrams at the room’s doors.
Keys are required for the use of the room at weekends and for the use of the vaulted cellar. When you are receiving a key you will have to sign a key loan agreement and the house rules. The key has to be returned by the next working days otherwise a there will be a 50 € penalty fee! The key can be collected no earlier than two days prior to the event, at the office hours of the coordination office which is located on the first floor.
